How to send certified mail

The short answer
You can send Certified Mail at the post office, or online for $12.99 ($14.99 with electronic Return Receipt). The counter costs $6.37 to $9.28 in USPS fees plus your printing, an envelope and about ten minutes, longer with a line. Both give you the same USPS record.
There are two legitimate ways to send Certified Mail: do it yourself at the post office, or send it online without leaving your desk. Both produce the same USPS proof of mailing and tracking — the difference is entirely in how much of the process you want to handle yourself.

The old way
Certified Mail, at the counter
- Write the letter, print it, and find an envelope that fits it.
- Address it by hand — including a return address, which USPS requires on every certified piece.
- Drive to the post office during opening hours and join the line.
- Fill in PS Form 3800 at the counter, peel it, and stick it on the envelope yourself.
- Decide at the window: the paper green card (PS Form 3811) or the electronic Return Receipt.
- Pay at the window, in cash or card, plus your own printing and envelope.
- Keep the stamped Form 3800 somewhere you will still have it in a year. It is your only proof of mailing.
Ten minutes at the counter with no line. Then do it again for the next recipient.

Path 1: Sending certified mail at the post office
Write and print your letter, seal it in any envelope that fits, and address it completely — USPS won't accept a Certified piece without a return address. At the counter, fill in PS Form 3800 (free, the barcoded sticker with your tracking number) and decide on a return receipt: the paper green card (PS Form 3811) or the electronic Return Receipt, which is cheaper, faster, and can't get lost on its way back to you. The clerk weighs your letter and charges $6.37–$9.28 in USPS fees depending on which you choose, before your own envelope or the trip. Keep the stamped Form 3800 — it's your only proof of mailing — and track the number at usps.com.
This takes maybe ten minutes at the counter, longer with a line, which there usually is. It's the right call if you're already headed to the post office anyway, or you prefer doing it in person.
Path 2: Sending certified mail online

If something goes wrong, do I pay?
If we cannot mail the letter, the hold on your card is released and you are not charged. If a letter fails after your card is charged, you are refunded automatically and in full.
Can I send certified mail without going to the post office?

What do I need to bring to the post office?

Do I need the green card, or is the electronic Return Receipt enough?
The green card (PS Form 3811) is the paper version — it costs more at the counter, takes longer to come back, and can get lost in the mail on its way back to you. The electronic Return Receipt costs less, gives you a signed USPS delivery record, and arrives by email. Check whether your deadline or court accepts electronic receipts; most people are better off with the electronic version.
How long does certified mail take to arrive?
Certified Mail travels at First-Class speed, typically 3–5 business days, whether you mail it yourself at the counter or send it through an online service. What changes is how it gets to USPS in the first place — you standing in line, or a service handing it off the next business day.
