Send a certified demand letter online

Justin WinterBy · Updated September 16, 2026

The short answer

Send the demand as USPS Certified Mail for $12.99, or $14.99 with an electronic Return Receipt. USPS records when it was mailed and when it was signed for. Paste the text or upload a PDF; it is handed to USPS the next business day.

USPS charges the same fees whoever hands the letter over. The difference is the trip, the form and the slip you keep for a year.

A demand letter only works if you can later prove it was sent and received. That is what Certified Mail is for: USPS logs the mailing, tracks the piece, and — with the electronic Return Receipt — records who accepted it and when. If the dispute reaches small claims court, a dated mailing record is often what the other side questions first. Rules vary by state.

Plain First-Class ($0.99) is fine for a first, friendly nudge — "please fix this and we are done." The moment you are setting a deadline, quoting a statute, or preparing to sue, spend the extra and go Certified. The $2 difference between Certified alone and Certified with electronic Return Receipt buys the delivery record, which is the half of the proof people forget.

Keep the letter itself boring and factual: what happened, what you want, and a specific date. Screening explicitly allows lawful demand letters and firm legal language — what gets refused is threats, harassment, and impersonation. Your PDF is printed exactly as rendered, so what you see in preview is what the recipient opens.

Practical detail people miss: your receipt records the class, the date and the all-in price, so if you are billing the cost back to the other side (some statutes allow it), you have the document.

Before anything is charged, the address is checked against USPS data, so a typo does not quietly become a missed deadline. Certified pieces never carry our mark — the envelope looks like it came from you, because it did — and every order gets a receipt plus a shareable tracking page you can hand to a lawyer, no login required on either end.

This page is general information about USPS mailing options, not legal advice. Notice rules vary by state and by document. Check your lease, contract or local rules, or ask an attorney, before relying on it for a deadline.

Questions before you send

Why not go to the post office myself?

You can, and if your time is free it costs less. USPS charges the same fees whoever hands the letter over; paperplane does not replace the post office, it replaces the trip. The mailing record comes from USPS, not from us. $12.99 covers the printing, the envelope, PS Form 3800, a USPS address check before you pay and a handoff the next business day. For a letter you already know how to send, the counter is a fine choice.

What if they refuse the letter?

USPS tracking records what happened to it, including refused or unclaimed. You still have the mailing record. Rules on what that means vary, so check with your court or an attorney if a deadline depends on it.

If something goes wrong, do I pay?

If we cannot mail the letter, the hold on your card is released and you are not charged. If a letter fails after your card is charged, you are refunded automatically and in full.

Is a mailed demand letter legally required before suing?

Often, yes — many small-claims courts and statutes (like security-deposit-demand-letter laws) require a written demand with a cure period before you file. Check your state; Certified Mail is the standard way to prove you sent it.

Certified Mail or Certified + Return Receipt for a demand letter?

Return Receipt ($14.99 total) if there is any chance of court. Certified alone proves mailing and shows delivery in tracking; the electronic Return Receipt adds the recipient’s delivery record, which is stronger evidence.

Will you refuse to print an aggressive demand letter?

Lawful demand letters are explicitly allowed, including firm deadlines and stating you will pursue legal action. Threats of violence, extortion, and impersonating someone you are not get refused — and the payment hold is released.
