When a business moves, email announcements get buried and phone calls don't reach everyone. A printed letter to each client or vendor is the version of the notice that actually gets read, gets filed, and holds up later if anyone claims they were never told. It also looks more deliberate than a mass email blast — which matters when the recipient is a client, a referral source, or a regulator.

What belongs in the letter

Keep it short: your old address, your new address, the effective date, and a note that all other contact information stays the same. If billing or shipping needs to change too, say so explicitly — don't make the reader guess whether invoices should now go to the new address.

When First-Class is enough — and when Certified is worth it

For most clients and vendors, a First-Class letter at $0.99 does the job — it's a courtesy notice, not a legal filing. Certified Mail ($12.99, or $14.99 with an electronic Return Receipt) is worth the extra cost when you need documented proof of delivery: medical, legal, and financial-services practices often have licensing or compliance rules requiring proof that clients or patients were formally notified of a practice address change. If you're not sure whether your industry requires it, check with your licensing board or compliance officer rather than guessing.

How the send actually works

To be clear about what this template does today: it fills in one letter for one recipient. paperplane doesn't yet have a one-click bulk-mail feature, so notifying a full client or vendor list means running the same template through checkout once per recipient, each with its own name and address. That's more clicks than a mail-merge tool, but each letter still ships the next business day after you submit it — no printer, no envelopes, no trip to the post office.

This template is a starting point, not legal or compliance advice — confirm your own industry's notice requirements before you rely on it for anything regulatory. We screen letter content for threats, fraud, and impersonation only; a routine business address change is fine to send as-is.

Questions before you send

Why not go to the post office myself?

You can. paperplane does not replace the post office; it replaces the trip. USPS still carries the letter. What you skip is the printer, the envelope, the stamp and the walk to a mailbox. $0.99 covers all of it.

If something goes wrong, do I pay?

If we cannot mail the letter, the hold on your card is released and you are not charged. If a letter fails after your card is charged, you are refunded automatically and in full.

Do I need to send this to every client individually?

For most businesses, yes — this is written as a single-recipient letter you would send to each client or vendor on your list, since paperplane does not currently support one-click bulk mailings.

When does this need to be certified instead of First-Class?

Some regulated professions (medical, legal, financial services) have licensing or compliance rules requiring documented notice of a practice or business address change — check your industry's specific requirements.
