USPS charges the same fees whoever hands the letter over. The difference is the trip, the form and the slip you keep for a year.
When a tenant sends a repair request, the risk to a landlord usually isn't the repair itself — it's what happens later if the tenant claims you never responded at all. A phone call or a text is easy for either side to misremember or delete. A dated letter, mailed and tracked, is not.
Why a written, mailed response matters
In a habitability dispute, a rent-withholding claim, or a small-claims case, the question that actually gets litigated is often not "was the unit broken" but "did the landlord respond, and how fast." A Certified Mail receipt gives you a specific date the tenant received your response, which is exactly the detail a verbal conversation can't prove. It protects you whether the repair was scheduled, already completed, or determined not to be needed.
What belongs in the letter
Reference the tenant's original request by date and describe the issue in their words so there's no ambiguity about what you're responding to. Then state plainly what you're doing about it: a scheduled repair with a date and vendor, confirmation the issue is already fixed, or your reasoning if you determined no repair is warranted. Vague reassurances ("we'll look into it") don't hold up as well as a specific commitment on record.
How fast you need to respond varies by state
Some states and cities set hard deadlines for responding to habitability-related repair requests — often measured in days for urgent issues like no heat or no water, and longer for cosmetic repairs. Others leave it to a "reasonable time" standard that courts interpret case by case. Check your local landlord- tenant statute before you rely on any particular window; this template doesn't assume one for you.

Why not go to the post office myself?
You can, and if your time is free it costs less. USPS charges the same fees whoever hands the letter over; paperplane does not replace the post office, it replaces the trip. What if they refuse the letter?
USPS tracking records what happened to it, including refused or unclaimed. You still have the mailing record. Rules on what that means vary, so check with your court or an attorney if a deadline depends on it.
If something goes wrong, do I pay?
If we cannot mail the letter, the hold on your card is released and you are not charged. If a letter fails after your card is charged, you are refunded automatically and in full.
Why would a landlord need to document a repair response?
If a habitability dispute or rent-withholding claim ever comes up, a dated record showing you responded promptly and reasonably is real protection — an undocumented phone call is easy for either side to misremember later.
